Phi Sig Alumni Association
Meeting Minutes9/11/08
September 11th 2008 was our 24th meeting of the Alumni Association. Next month October will be our two year anniversary, we had our first meeting October 2006. This meeting officially got underway at 7:13pm; we met at the 19th Hole in Conway. I. Treasury Report Regular Account - $640.86 Scholarship Account - $1742.75 - (Plus $3500.00 in our Endowment) Total $5883.61 As our Treasurer was flying out of New York City, our president Brother Waters filled in. Fortunately Brother McKenna made it home safely. Just in time to place forth in the recent Poker tourney. II. Membership So far, we have 49 paid members for 2008. We would like to welcome our two newest members, Albert Miller and Lewis Carllee. Membership blitz – Mike will send all Alumni Association Members a list of all non-members. All alumni are encouraged to send an email to 3-4 non-members to try to get them to join. Rusty came up with a good idea about picking one brother and paying for his dues and encouraging him that if he thinks it’s worth it to pick another brother to pay dues for. Please mention Homecoming when you make your contacts for the blitz. Seven current members attended the meeting along with the Current Chapter President, Greg Berbusse. We would also like to thank a former Lil Sis of ours for attending as well, Barbie Abney, wife of Robert. III. Website We have had 1454 hits (742 unique) from 37 states plus the District of Columbia. That’s up 201 hits since last month. Brad has added a Phi Sig Message Board to the website. Let’s try to get some traffic on there. Brad’s also added a button to apply for the scholarship directly from the website. We will soon have a “chat room” on the site and will be emailing with a once a month time when everyone can log on a talk with each other. 8-9 hits recorded on the site to start, great tool us to use for zero cost. Community Service Race for the Cure. – Gaylon and I visited the room Tuesday for meeting and talked with the chapter about setting up to sell the ribbons on campus. They are set. We have the first 100 ribbons and Mike will order an additional 400 and deliver to the chapter. They are going to go to all sorority rooms to sell and are talking about coming up with a prize to the sorority that buys the most ribbons. I am also seeking to get a banner made (I will pay for it) for the chapter to use for this year after year. They made it mandatory to meet at 6:00 a.m. on the day of the race to travel to Little Rock to help the alumni “tailgate for a cure”. I have emailed Nathan Perry to try to get his address in Afghanistan to send him a “care package”. Old Business Alumni Profiles I sent a final reminder email to Roy Erickson, Kenny Davis, Mike DeJarnette, and Wade Wilson. I sent a reminder to David Bakke, Barron McCormack, Jim Malone, Jason Durnett, Kent Pray, Kit Moffatt, and Rusty Sparks. The next batch is Keith Larkin, Gary Aday, Neal Anderson, James Cheek and Gaylon Eoff. Scholarship Program I sent the picture of myself and Michael Morris to all Alumni Association Members. I have also passed on to the Log Cabin and Arkansas Democrat (for the River Valley Edition). We will be getting a plaque made up for the chapter house that we can add names of future recipients. Greg Berbusse is trying to get this placed in the Echo on campus. If they will not, we will buy an ad. A 3x2 add is $36.00 and a 3x5 ad is $90.00. I brought an issue to check it out. We also need to purchase a plaque for the yearly winners. If you would like to donate toward the Echo and the Log Cabin ads please do so. Several alumni at the meeting have already contributed! Thanks..... The on-line application process for the scholarship is now in the testing phase and should be ready to accept forms on-line soon. Shirts The shirts are in. If you haven’t paid yet, please do so. We need the money! Advisory Board for Chapter We have not met since our last meeting but will do so soon. The members of this committee are myself, Terry Rhoades, Jason Keith and Tim McKenna. 501C Rusty is running a little behind. One serious issue is that there is a $750.00 filing fee of which we were unaware of. If you can help with this, please email me. We’ve got to get this going ASAP! This is a one time fee and does not need to be paid yearly. It is also retro the first of the year for all donations as long as we FILE and get accepted before the end of the year. Homecoming This year it is on 10/11. We have Centennial Valley rented and need a team to work on what we want to do. I will solicit volunteers for this one (David Bakke, myself and Roy Erickson so far). Most of what we will do for homecoming needs to be finalized, times and dates for the parade, tailgate, game, and reception. Most of those dates and times are on the UCA website. Newsletter to follow shortly. Chuck Cummings This Saturday we will be having a Texas Hold-Em tournament at my house with 100% of the proceeds going to Chuck, Kristen and Zach Cummings. There will be first-third place prizes as well as the winners name on a plaque for the house. Great time had by all involved!!! A special thanks to all those who donated... Tailgating I have attended one game so far and plan on making several more. Plenty of eye-candy there!! Tailgate spots 31 and 32, between the Old Gym and Estes stadium. IV. New Business Chapter Update The chapter came in with the third highest grade point among the 7 white Fraternities on campus last semester with a 2.83 average. They are working really hard this semester but will need some help from us both financially as well as with manpower. With a virtually non-existent fall rush, they have been focusing on Spring rush and are already rushing guys going through next semester. They had $1900.00 in their account as of last Tuesday but National’s insurance will eat a good deal of that up. They are really concentrating on collecting dues. They are actually filling out promissory notes and making payment plans. Last semester they had to T-9 several people who consistently owed money. It was a good move. Todd Simpson has volunteered to come down sometime to perform the “Phi Sigma Epsilon” ritual for the membership. Jacob Johnson is getting pricing on a new sign to be build for the chapter. Instead of traditional letters, this one will be oval shaped with hinges that will have our letters and the “triple t’s” on it. Several alumni mentioned that the Phi Sig letters were not visible during the game. Suggestions were to have new letters and or a banner made for this purpose. Historian English did not attend the meeting. Charles Whiting was kind enough to donate a Phi Sigma Epsilon Patch as well as his pledge pin (with MU letter) to our archives. I have brought English a book that I started years ago that has some clippings about Phi Sigs. We can build from there. I will also dig up a list I started back in the frat of pledge classes and our Initiation Numbers. Dave Miller Dave is an alumnus from another chapter (Michigan) who has expressed interest in helping out the chapter. He lives in Russellville and is trying to get a colony started there. He recently donated $300.00 to the chapter. I will give him a call and see if he would be interested in coming to our next meeting. Rush One thing we discussed about helping the chapter out was trying to get a list of all incoming freshmen before they come to school, then holding informal rush parties at various locations. We discussed several ways to get the alumni involved to help the chapter out with their numbers. We will have a meeting soon of the Chapter Advisory Council to get more details. Most, if not all, have agreed that Rush should be one of our top priorities. Several great ideas brought up at the meeting. Please contact Mike and the Chapter Advisory board to share any that you may have. Meeting discussions and ideas Talk of a silent auction with items autographed by local sport celebrities. Have local boxing star visit the boy's and girl's club and have it sponsored by the Phi Sigs. Begin a Little Sister contact list for a possible reunion. V. Next Meeting The next meeting will be October 9th at Centennial Valley in Conway. Please note this is the night of the Homecoming bonfire which starts at 8pm. End of official business meeting 8:40pm
Meeting Minutes8/07/08 I. Treasury Report Regular Account - $961.73 Scholarship Account - $5655.10 - ($4000.00) will be given to U.C.A. to go into our Endowment Fund. Total $6616.83 II. Membership So far, we have 49 paid members for 2008. Membership blitz – Mike will send all Alumni Association Members a list of all non-members. All alumni are encouraged to send an email to 3-4 non-members to try to get them to join. III. Website We have had 1253 hits (604 unique) from 36 states plus the District of Columbia. That’s up 141 hits since last month. Brad has added a Phi Sig Message Board to the website. Let’s try to get some traffic on there. Community Service Race for the Cure. – I’ve talked with the Chapter about being “sponsors” for the race and they are excited about it. Gaylon is trying to find some cheap “ribbons” that he/we can buy for the chapter to sell on campus the week before the race with all proceeds to go to the Komen Foundation. This is a great community service project for them and will generate a lot of good publicity. We’ve also located some Cancer awareness stickers on E-Bay that we can buy 2500 for $30.00. We’re also gonna buy some of these to give away to any women that request it. Should be a good way to get their name back on campus. Nathan Secor has received his “care package” and wanted to thank the alumni. We are still seeking an address for Nathan Perry who is in Afghanistan. I’ll forward an interesting email about him shortly.
IV. Old Business Alumni Profiles I sent another reminder email for the first group, Roy is the only one from the first group that hasn’t responded but has his ready. The second group is complete. The third group that I haven’t heard from is Jim Mitchell, Kenny Davis, Mike DeJarnette, and Wade Wilson. The fourth batch that I still haven’t heard from is David Bakke, Barron McCormack, Jim Malone and Benny Petrus. I have sent out an email with the next batch which includes Jason Durnett, Kent Pray, Kit Moffatt, Charles Sontag, and Rusty Sparks. Scholarship Program We have contacted Michael Morris to inform him that he is the recipient of the first $500.00 scholarship this fall. We will be getting a plaque made up for the chapter house that we can add names of future recipients. Shirts The shirts are ready and Roy will pick them up. We ended up with a total of 21 people who requested them. Advisory Board for Chapter Myself, Nathan, Terry and Jason all met briefly last week with a couple of members from the chapter. A few things we talked about were the getting a new Chapter Liaison, The Race for the Cure, Rush, Their new house that they’re renting, an alumni carwash, building a Homecoming float, electing a historian, and building a new set of letters for the Chapter to put up and football games. Tim McKenna also volunteered to be on this committee. 501C Rusty is still working on this and has secured the help of Robert Abney on the legal end. He has also requested some financial help from any alumni that may have some experience with accounting so if you think you can help, please contact Rusty or myself. I talked with Rusty and his goal is to get this filed with the IRS during the first week or two of September. Family Day at Dickey Stephens Field August 2nd. We had secured 100 tickets from Dickey Stephens Park for this game. We have paid $6.00 each for them but will get a check back for half of that amount. We had a poor turnout (8 members) so unless anyone would like to meet before the season’s out, I’m gonna be paying $172.00 for that game. I’ll send a message out to gauge interest. Homecoming This year it is on 10/11. We have Centennial Valley rented and need a team to work on what we want to do. I will solicit volunteers for this one (David Bakke is the first). We will also send out a survey monkey for ideas.
V. New Business Chapter Update August 17th is “move in day” at UCA and the chapter will be helping move people into the dorms. They have a pretty aggressive plan to meet people moving into Arkansas Hall and are talking about sending “gift packs” to the guys that seem like they might be interested. We voted to buy lunch for the members and Tea Roses (little sisters) that showed up. They just moved three houses down to a better house on College and Donaghey. The executive board held a retreat on August 1st to go over plans for the upcoming semester. One of the Chapter Members is working on establishing a “Weekly Greek” newsletter and has talked with U.C.A. about funding. Things are looking pretty good here and can reap great benefits to the chapter. Tailgating We agreed to buy a 12’x12’ canopy for our U.C.A. tailgating this year. I’d like to get a list of people that will be tailgating this year and maybe assign a 3-man team for each game to get everything together. We could make this a good family type atmosphere and help the chapter out by showing some numbers every game. We voted to allocate $50.00 to the chapter for each game. They will be responsible for feeding any alumni that show up (providing that we give them a list ahead of time), the rest of the money can go towards their food. Historian English Cook was voted in as our new Chapter Historian. The group at the meeting had some good ideas about what this new position should entail and we English will share them with us at the next meeting. He also agreed to take over the “Chapter Liaison” position that Nathan Hotchkiss will have to vacate since he’s moving to Corpus Christi. Chuck Cummings By now, most members know that Chuck is an alumnus that has been battling cancer (for the second time) for the last year or so. On 7/14, Chuck’s house burned down. We voted to have an alumni “Texas Hold Em” tournament with a buy-in of $50.00 with all proceeds going to Chuck and his family. I think I can get Centennial Valley for free or if we have a small turnout, we could hold at my house. I will send a message out with details to all alumni. We had already planned on making this an annual tournament with proceeds going to a variety of places to be voted on each year (local chapter, fraternity house, scholarship fund, etc). We will buy small prizes for the first, second and third place winners and will start a plaque for the house that will name each years winner. Chat Room We’ve been talking off and on over the years about getting a chat room going on-line one day per month for alumni that are not close enough to attend many of our functions. Brad agreed to look into this and let us know what he came up with. Grand Chapter Relations We discussed a few things pertaining to relationships with Nationals. A few of the things we discussed was having an alumni representative to deal with Nationals as well as sending a representative to the National Convention.
VI. Next Meeting The next meeting will be at Centennial Valley in Conway on Sept 11th.

Robert Abney, Greg Bowman, Bob Goss, Sammy Patrick and Robert Toney are our newest members. The following members were present for the meeting; Mike Waters, David Bakke, Tommy Shackelford, Robert Toney, Gaylon Eoff, Rusty Sparks, Tim McKenna. Brad Youngblood, Terry Rhoades, Jason Keith III. Website We have had 995 hits (480 unique) from 33 states plus the District of Columbia. That’s up 168 hits since last month. Brad, will add the blogcast to our website so everyone will have access to voice their opinions? We added a “Chapter Eternal” page for deceased alumni. If you know of any alumni that have passed away that aren’t on this page, please let Brad or myself know. Community Service Gaylon Eoff is spearheading the effort to get together this year for Race for the Cure. We talked about getting this together along with the local chapter and letting them do it to get some good publicity. Gaylon is looking into purchasing some Pink Ribbon Pins to let the chapter maybe sell on campus to raise some funds for a donation. The race is on Oct 11th. We will discuss more during the next meeting. IV. Old Business Alumni Profiles I sent another reminder email last night for the first group, Roy is the only one from this group that hasn’t responded but has his ready. The second group still hasn’t heard from Terry Rhoades and Gary Birdsong. The third group is Jim Mitchell, John Boatman, Kenny Davis, Mike DeJarnette, and Wade Wilson. None of them have responded yet. I will email all of these people to respond before sending out the next five. Scholarship Program We generated @ $3700.00 profit last weekend at the tournament. At the end of the tournament, we had an alumni make an anonymous donation to pay for all the greens fees, giving us another $400.00. A special thanks to him, it was unexpected but a great surprise! Brad and his team have been working on a “Memorandum of Understanding” for our “Phi Sigma Epsilon and Phi Sigma Kappa Scholarship Fund. They still have a few kinks to iron out but it looks like we’re ready to go. We will start next semester by awarding a $500.00 scholarship to an active member and at the end of the “pledge period”, we will award a $500.00 scholarship to a new Associate Member. This scholarship will be given to that new member at the beginning of the following semester to insure that they are going to stay active. The members present thought that this would be an excellent way to start trying to bolster the local chapter’s numbers. Our ultimate goal is to set up a $10,000 endowment with U.C.A. to go to local chapter members based on our criteria. A special thanks goes out to Rusty for his help on this. Shirts I have a list of 15 people who have requested to get alumni association shirts. I will send out an email to all Alumni Association Members telling them the pricing and showing them an example of the artwork in case there are more that would like to purchase one. Advisory Board for Chapter Myself, Nathan Hotchkiss (Chapter Liaison), Jason Keith and Terry Rhoades and the upcoming chapter president (Greg Berbusse) are on this committee. I have gotten a list from Greg with all of the chapter’s meeting dates during the summer. I will email everyone and we will try to attend a few of them. Particularly the ones that involve rush. 501C 7 Rusty has been working on this. This is what we need to be federal tax exempt. He thinks that we can have done by the end of the year, in which case, any donations given during 2008 will apply. Mike will send Rusty a copy of our non-profit certificate as well as the paperwork that was filled out to secure this cert. Housing Corporation I have some volunteers for this committee but we haven’t met yet. I’ll try to get something together before the next meeting. Getting the 501C7 will be critical to fund raising on this. Family Day at Dickey Stephens Field Family Day will be Saturday August 2nd at 7;10 when the Travelers take on the Northwest Arkansas Naturals. Roy picked up 100 tickets from the stadium. They will charge us $3.00 each, and will let us sell them for $6.00 (or more) and keep the proceeds. I’ll send out a message to all alumni when we get closer to time. V. New Business Homecoming The date is 10/11 and the game is at 6:00. We went ahead and reserved Centennial Valley for our reception. Mike thinks he can get the room for free like last year and will get a committee together to help put together this summer. We also have a tailgating spot next to the chapter for all homes games this year. Chapter Update Adam Finch just graduated from UCA. Just a reminder that all graduates get one year free membership in the Alumni Association. August 17th is “move in day” at UCA and the chapter will be helping move people into the dorms. We will try to get some alumni to also help out with this. While not a fun task, this is a good recruitment tool. The chapter is trying to get together a float trip for June 28th and have several guys that will be starting at UCA this fall going with them. The chapter will be meeting this summer to discuss the upcoming semester. Survey Monkey Rusty has started a survey on Survey Monkey, when complete we’ll mail the link to everyone.

Brad Youngblood is the chairman of that committee and also will have the help of Gaylon Eoff, Rusty Sparks and Roy Erickson. Golf Tournament – The date has been set for Saturday June 7th. Mike will forward the information to all Alumni Association members first to give them the first shot at attending since we are limited to 54 people. 100% of the profits will go to the scholarship fund. Shirts I have a list of 13 people who have requested to get alumni association shirts. Academy Sports has some polo shirts for $10.00 each and I’ve requested Steven Fry to check with his dad about the cost of putting our logo on them. I’ve also found some websites that will provide screen prints for @ $16.00 each delivered. Rusty Sparks also mentioned that he thought he had someone who might be able to help. I will pass this information on when we get it. Advisory Board for Chapter Myself, Nathan Hotchkiss (Chapter Liaison), Jason Keith and Terry Rhoades and the upcoming chapter president (Greg Berbusse) are on this committee. We will be meeting soon to discuss the upcoming semester and to set up some goals. The in town chapter members will be meeting once monthly also to discuss rush next semester. Bylaws The bylaws were adopted and are also attached to this email for all to take a look at. If you see anything that you may want changed, please note for upcoming meetings. We can always make amendments to it. Rusty volunteered to help us with the 501C which is the next step to getting our federal tax exemption. VI. New Business Housing Corporation An email will be sent to all alumni requesting volunteers for the housing corporation. This is our main goal at the moment. Directors and Operator’s Insurance We will solicit bids from alumni about getting some D&O insurance quotes. We will probably have to wait till we get more money in the coffers before we can buy this but we want to get some numbers in order to make that decision. Chapter Update Chris Popham just graduated. I’m trying to get some information on him to add to our website. I’d like to make a motion that any new graduates automatically get the first year in the alumni association for free. August 17th is “move in day” at UCA and the chapter will be helping move people into the dorms. The chapter is trying to get together a float trip for June 28th and have several guys that will be starting at UCA this fall going with them. Family Day at Dickey Stephens Field We need to set a date and get ready for our second annual family day at Dickey Stephens field. Roy has some information to share with us. Roy is checking into dates with the travelers. They also have a fundraiser that we may look at doing where you buy 100 tickets for $3.00 each and are allowed to sell them for $6.00 (or possibly more to alumni for a fundraiser). Roy will report back at next month’s meeting. VII. Next Meeting The next meeting will be June 12th at Centennial Valley in Conway.

We will have this at Terry Milam’s golf course. We will send out sign up sheets soon. Motion to have the tournament on the 7th of June. Accepted.
Shirts I talked with John Boatman and he said that his aunt is covered up. I will send out an email to all members to see how many people are interested in getting A.A. shirts made up and we will do this independently. Tailgate Spot We have secured the spot alongside the chapter for tailgating this year at U.C.A. games. The cost was $200.00. We will email the location to all alumni before games. Advisory Board for Chapter I think after hearing our chapter report from our Chapter Liaison, you’ll agree that it’s time to form the Advisory Board for the Chapter. This board will get together independently of the alumni association meeting and work to help the chapter with all aspects that they need help with. I will send an email to all members and will take volunteers. Bylaws I have printed up three sample Bylaws from other alumni associations and will amend to fit our needs. Do we want to bring to the next meeting and read or do we want the executive board to meet and go over and the membership can brief them and vote next meeting? Exec board will meet outside of meeting to write up the constitution, then presented to the group on next meeting. VI. New Business Housing Corporation Neal Anderson, Benny Petrus and myself met with Lu Hardin (President of U.C.A.) Wednesday for lunch at the Little Rock Club to discuss putting a house on campus. Lu was very helpful and told us that he had three spots on Western Ave. that he has in mind for us. He said that by Friday, he’d get that information back to us. I’ve been talking with Nationals about this also. What we need to do is to form a Housing Corporation. I had a lot of people express interest in helping out with this at the Reunion so I think it would be wise to send an email out to all alumni contacts to gauge interest. Webcast Meetings I’ve been kicking around the prospect of webcasting our meetings over the internet for members who can’t make the meetings. My wife has a laptop with wireless internet and it also has a web cam. Does anyone know anything about this? Crown Royal Labels I have had some custom Crown Royal labels made that say the following; they are free to any alumni who donates $10.00 or more to the Scholarship Fund. The Phi Sig Alumni Association Epsilon Mu Chapter U.C.A. Sold all of them, thank you for your support of the Scholarship Fund. I’ll order more! Chapter Report I (Nathan Hotchkiss) attended the last two meetings. I am working with the secretary to get a newsletter. They paid their census and have $402 in the bank. They have to pay $640 for 3 members to go to leadership school this summer. Initiation is on May 8 at 8:00 and I’m guessing brotherhood afterwards. All Greek Step Show is Apr. 17. Homecoming Homecoming this year falls on 10/11. Mike is working with Centennial Valley and Roy will check with a couple of other places to see what we can do. We’ll need to reserve a room asap. VII. Next Meeting The next meeting will be May 8th at Gusano’s in the River Market District in Little Rock. If we seem to have a large enough interest, I’ll reserve the downstairs for us.

Website We have had 652 hits (369 unique) from 30 states. That’s up 97 hits since last month. We will add a “Chapter Eternal” page for deceased alumni. Do we need to have a meeting to go over changes? Mass email when updated will help generate interest. IVIV. Community Service I talked with Gaylon Eoff and he would like to plan something for everyone to get together during this years Race for the Cure? We could invite the fraternity to help out also. I’m still trying to get an address for any brother who is either in Iraq or Afghanistan. When we get it, we will get together a “care package” to send to them. V. Old Business Alumni Profiles – First group, please get them back. The second group will be English Cook, Terry Rhoades, Jason Keith, Danny Harris, and Gary Birdsong. Scholarship Program – We voted to make Brad Youngblood our Scholarship Chairman. Brad’s been doing a great job these last couple of months with helping us get started. VI. New Business I’d like to see a membership blitz. I need the membership’s help on this. I’ll send out a list of alumni and what I’d like for the membership to do is to pick at least two (more if possible) that you will email to try to get to join the A.A. I’d also like for you to look for people who you’re in contact with that we don’t have addresses or emails for to try to boost up our list (319 people) Golf Tournament Roy Erickson volunteered to look into our Spring Golf Tournament. Terry Milam said that he would try to get us a reduced rate if we wanted to have it at Persimmon Ridge in Greenbrier. Roy will check with him and will get back to us at next month’s meeting where we will discuss further. Chapter Liaison Nathan Hotchkiss volunteered to be our Chapter Liaison. He will attend chapter meetings and be our go between guy for us and the chapter. This is the first step in helping out the chapter. Advisory Board for Chapter We agreed that next meeting that we’d discuss developing an advisory board to help the chapter out with all aspects of their business. Housing Corporation Neal Anderson, Benny Petrus and myself are meeting with Lu Hardin on April 9th at the Little Rock Club to discuss what we need to do to advance our plans of putting a house on campus for the chapter. I will report back at next month’s meeting how things went. We have a lot of work to do on this endeavor. Bylaws I have printed up some by-laws for us. Both Rusty Sparks and Billy Hubbell have offered to help us with any legal things we need done on our behalf. I will go through them and present them at the next meeting. This is the first step that we must take in order to get our 501C certificate for federal tax benefits. Ink We voted to buy an ink cartridge for Mike to continue doing the majority of our printing. Next Meeting The next meeting will be 4/10 at Centennial Valley, May will be held in Little Rock again.
