Discussion

Body beautiful

Ida Waldron was booked for the rest of the year so we have it reserved for Feb 24th.

Cozi

The chapter is getting ready to get set up on this so that they can all use the updates.

Pipe bomb aka PVC bank for Formal

The chapter hasn’t gone on a formal in years. With the house, they will probably be pressed for money for a while so I have made a bank for them. It is make of PVC and has caps cemented onto it that will have to be cut off. We are taking donations from chapter members, alumni and friends. Only silver change and bills. We plan to take it everywhere till we fill it up. We’ll then cut up and use to help them pay for a nice formal somewhere! Took up @ $16.00 at meeting for it!

Conclave

This year’s Conclave is in Ft Smith on Jan 28-30th in Fort Smith. 6 guys are planning on attending.

Rush

Starts next week. Exclusive night will be the 18th from 9-10:30 and invite night will be the 21st.

Discussion

Court of Excellence

Our bylaws state that we should have a Court of Excellence consisting of any past presidents. Mike will start contacting these people so that we can for the Court and schedule our first yearly meeting. If you are interested, please contact him for more information. We’d like to get at least one past president for each 5 years so we’ll have complete coverage over the entire membership. So far I have @ 7 or so volunteers for this.

Planned Giving

Neal brought up the fact that we should start thinking about a “planned giving” program to insure the future donations to either the Association or the Scholarship Fund. I have talked with an old Little Sister (Jan Preuitt Davis) who is the Director of Planned Giving for U.C.A. she has given me her website to look at and offered to meeting with us to discuss. I will email people with this information and work on a brochure to put at our events.

Kroger Fundraising Gift Card

We have filed the 501C form and when we get back out paper from the IRS, Mike will get us set up to take advantage of this. We buy rechargeable cards and for every dollar spent at Kroger (including gas, and pharmacy) the scholarship will get 4% back.

Contact Blitz

I got a list of who National’s says are Phi Sigs. @ 2200 people. Mike is continuing to send out a list every couple of weeks of twenty of so members. He is sending to Phi Sigs with known emails from that time period.

501C

Rusty is waiting on word back from the IRS.

Facebook

Our Facebook pages now have 203 members on our regular site which is Phi Sigs and friends and have 163 members on our Phi Sig only site (upper left). This will be a good tool for us in the future for events and to keep everyone up to date on what’s going on.

Alumni Veterans

Alumni veterans displays will be made that will show all of our veterans along with any patches we can secure from them.

Chapter Eternal

We will be making some sort of display for future reunions to honor the Phi Sigs that have passed away. We will include birth and death dates as well as any other information and pictures that we can secure.

Roast & Toast

The chapter has come up with a great fundraiser. They want to do a Roast & Toast of Mike Waters. We have moved the date since it was so close to the Reunion. More information on how to embarrass Mike will follow!  Mike is talking with Jared about getting a building across from the high school for $300.00 per night. We’ll have catered and kegs with all proceeds going to the chapter/housing/scholarship funds.

House

We have the house! Special thanks for the following 16 alumni that donated to help us with seed money to make it happen! We raised $1425.00 (plus have 3 checks of unknown amount on the way) which makes this a reality. Thanks to Mike Waters, John Gray, Lonnie Smith, Greg Bowman, Craig (Phi sig from another chapter that Jacob Johnson knows), Neal Anderson, English Cook, Brad Youngblood, Gene Sparkman, Tommy Johnston, Chuck Sontag, Mark Webber, Mike Woiteshek, Nathan Perry, Kevin Pray and Jason Keith.

-       2 people currently living there with one to move in mid-feb – That will be $900.00 income. The rent is $800.00 per month and the estimated utilities are $295.00 per month.  Next month, they will start saving $80.00 per month from a storage building they no longer need. The utilities will eventually be split up into one equal share for the fraternity and one equal share for each member living in the house. Expenses for cleaning supplies, etc will also be done this way.

-       We got the sheetrock and a bunch of supplies for the house (mainly cleaning) and have it on a 6-month no interest card from Lowes

-       We are finishing out the separate garage with sheetrock and an area connecting the office with a bar that opens up out into the building.

-       We plan on doing some fundraisers to help fund the house such as alumni carwashes and details as well as selling bricks for a backyard patio.

-       The chapter will be coming up with a wish list that they would like to have. Stuff like a nice grill, horseshoes, dart board, privacy fence, etc.

-       I would like to see a section of the wall in the chapter room dedicated to deceased alumni

Diamond Bear Brewery

Brad sent me a link to their Facebook page. They give free tours at 3:00 on Saturday. They also have a program where you can help bottle and they’ll give you free beer!!  . Mike will have more details at the February meeting. At the tour, we can inquire about working a weekend. Their website says that if you volunteer to give brewery tours (1 ½ hours), they give you a free case of beer!

Founders Day

Founders Day will be March 5th this year.

Please work on stuff for the silent auction

Mike is checking with both the Hilton and the Howard Johnson in Conway about rates.

We decided to start a Phi Sig Hall of Fame. We will be inducting our founder Shannon Flowers as the inaugural member. During the business meeting this year, we will take nominations for people for the next year.

Mike will talk with Robet Tubbs about doing a slide show about his Afghanistan adventures!

Our tentative agenda for the Reunion business meeting will be the following

Scholarship

Housing

Court of Excellence

President of the Chapter’s speech

2012 Reunion committee

Housing Corporation

We had second meeting and talked about a lot of things but really need to get into the house before we can get our main stuff down.

Grand Bigs

Hopefully, we’ll need a bunch of them this next semester. What it involves is a small “goody bag” at the beginning and buying them a shirt and dinner after initiation.

Dues for next year

We discussed having different levels for next year depending on the amount donated. Mike will come up with something for next meeting to vote on.  We also talked about perks for the ones that give a certain amount.

Little Sister list

Rusty asked Mike to forward his list to Barby Abney and Reggie Henderson.

Mike requested and got the ok to give the chapter 20 of our alumni cups for their house. We also voted to buy some pink glasses to sell at reunion.

Travelers

We talked about doing a travelers game again this year.

Super Bowl Party

We will sponsor the food for the chapter for them to have a nice Super Bowl party this year. Mike will get back with the pricing.

Discussion

Newsletter

will go out before the end of this month.

Dinner for the two new guys from last semester as well as the new Associate members will be Friday Sept 9th at J.J.’s.

I have received the initial crisis communications plan for the chapter back from Sean and will get updated and will bring to next month’s meeting. I will also offer a copy to any alumni that would like to see it.

Mike is starting a Phi Sig Fight Club at the beginning of the semester. For a small fee (for an extra set of gloves, punch mitts, hand wraps and a personal mouth piece). The idea is to start out in my garage doing some circuit training (hitting the heavy bag, hitting the mitts, jump rope and some sprints) maybe twice a month. After a month or so, I’d like to start doing some light sparing. I think this would be a really cool rush tool. We could get some tee shirts made up or maybe water bottles. Would also be a hell of a workout!

Getting back into Intramurals this semester.

They participated in an RSO event on campus a couple of weeks ago. They set up a table and got a list of names and phone numbers from some true freshman that we’re working on for this Spring’s rush.

We have 6 guys that we’re handing out bids to tomorrow and hope to get at least 4-5 new members which is a really large number for fall rush for us.  They are planning on taking them to J.J.’s to watch the Hog’s game Saturday night.

Tea Roses

They just made four new ladies Tea Roses. This brings them to six active ladies on campus with one returning next semester.

October 4th we’ll finish up paddles at my house.

9/11 tribute Saturday morning

They are taking up donations to send to the 9/11 fund. They will be walking around campus on Saturday 9/11 at 9:00.

Tulsa Road Trip

On 9/25, the members are gonna caravan over to Tulsa for the UCA game.

Discussion

We met on 8/21/10 at Mike’s house.

I requested that every week they have a report to show whose behind on their payment plans.

Body Beautiful, I’m working on. One of our Tea Roses (Sam) sent me a package with all of the forms that they used for a similar program and I’m in the process of converting them to our needs.

They have a new website (thephisig.com) Lonnie will be updating it. Someone in the chapter will be emailing when they need to add something.

Rush – I made up the business cards and brochures. We will start taking to tailgates.

Race for the Cure. Mike is working with Aaron Pitts on this. Will be the third year to do this and this should be the best yet.  We will work on a “memory board” for people to post names.  We’re also talking about setting up a table at Hendrix for a day and maybe CBC if possible.

Move in day will be 8/26, the Phi Sigs are in charge of refreshments.

Bid day is 9/10.

Looking at doing a homecoming float this year.

Newsletter will start again when school starts back.

Sean will get with Tim to go over Treasurer procedures.

Dues per year paid to nationals are now $559.00 per man. Their total dues for the year are $800.00 so there’s not a lot left over.

Michelangelo’s – Still looking at rooftop parties.

Housing Corporation

We got another volunteer. Now it stands as Mike Waters, Tim McKenna, Jacob Johnson, Roy Erickson and Gary Birdsong on this committee. We have added Wes Long as our chapter rep.  All members need to read the Housing Manual located on the website.

Poker or Dart tournament are possible fundraisers.

Planned Giving

Neal brought up the fact that we should start thinking about a “planned giving” program to insure the future donations to either the Association or the Scholarship Fund. I have talked with an old Little Sister (Jan Preuitt) who is the Director of Planned Giving for U.C.A. she has given me her website to look at and offered to meeting with us to discuss. I will email people with this information and work on a brochure to put at our events.

Diamond Bear Brewery

Brad sent me a link to their Facebook page. They give free tours at 3:00 on Saturday and Sunday. They also have a program where you can help bottle and they’ll give you free beer!!

We’ve got information on a little over 400 so I’m gonna start a blitz each month where I sent out an email to A.A. members with about 20 or so names to try to find these people.

501C

I talked with Rusty and he’s going to check on this and have us back and update by the next meeting.

Facebook

Our Facebook page now has 190 members.

Bylaws

Mike will send a copy of the bylaws to the executive board to go over and review for any needed changes. If so, we will discuss and vote on them next meeting.

Homecoming

Homecoming – 10/30 this year against Southeastern Louisiana. It was decided to do Homecoming like last year with a nice cookout and a plan to go elsewhere afterwards for anyone interested. Time has been moved to 2:00 for T.V.  Brother Tom Bonner will also be honored at halftime as an UCA distinguished Alumnus. Our theme this year will be 75 for 75. This is our 75th anniversary on campus and we want a minimum of 75 alumni to come back to the game for out tailgating!!

Homecoming brochure

Roy talked with the school and it’s too late to be listed on the UCA festivities for this homecoming. They had to have that information the first of July. They will get us listed on the website though.

Canopy for UCA Tailgating

I have gone by the last two weeks to get a canopy and they’ve been out. Were supposed to get them this week, I’ll go by early next week and get it.

Roast & Toast

The chapter has come up with a great fundraiser. They want to do a Roast & Toast of Mike Waters. We decided that Feb 19th is the tentative date. More information on how to embarrass Mike will follow!

$$ for the chapter

We have got to find a way to help them out. They are currently in a catch 22 situation. They don’t have enough money to do the stuff that they need to do to draw more members in.  Mike will send out an email asking for suggestions and we will start some “program” at next meeting. We don’t want to end up with a $10,000 endowment and nobody to give it to!

Tailgating

Next game is 9/18 at 6:00 p.m., this tailgate we will be cooking catfish, chicken strips, fries, hushpuppies and baked beans.  We are urging families to start coming out. We will set up and alumni tent directly behind the chapter tent and will have drinks and activities for the kids.

We have been trying to buy a few small reusable things for each tailgate to try to build up a good supply. Last game we bought a plastic charcoal container and a long lighter. We’ll try to get some good storing trays for next weekend.

Roy had a great idea to try to make every tailgate a sort of mini-reunion for a different decade or half decade to try to get more alumni back here for them.

A motion was raised and passed unanimously to continue to give the chapter $50.00 per game to help out with food costs. A motion was also made and passed unanimously to buy one 30 pack of Bud Light per game for alumni that show up without anything to drink. They will be encouraged for a donation but this will keep those of us that do brink beverages from supplying the less prepared!

Tea Rose shirts

A motion was made and passed to purchase new letter shirts for the four new Tea Roses. (total of $141.59)

House

We are trying to work out a deal with U.C.A. to rent a house that they own just off of campus (we would need to put 6-8 guys in and they would pay the equivalent of a dorm room) We have a meeting the last week of September to see what the university would let us have it for. We would only have it 1- 1 ½ years but it would get our membership up and give us time to evaluate other housing opportunities (they will be building “Greek row” in 2-3 years). Excellent opportunity if we can make it work.

Dinner for new guys (and pledge trainer)

Last year, we voted to do this. We took another vote and decided to keep doing this till we deemed it unnecessary.

Bid Day

The chapter asked if we would mind helping out with a little money to help them with their bid party Saturday night. A motion was made and passed to provide them with $20.00 per Associate to come from our Chapter Fund.
