Discussion

Newsletter – next copy is due out in May. They are doing every other month.

They just initiated the two new guys.

Steve is getting ready to update their photo album with some new pics. We are also including copies of their newsletter along with any flyers that they do for fundraisers or philanthropy.

Nathan Bazyk (member) and Casey Riley (Tea Rose) will be married June 5th.

I sent out a letter on behalf of the Frat for them to do yard work and/or car detailing. Please use them if you can, they need the money pretty bad. Trying to get them back to zero and “KEEP” them there. No more debt to Nationals …..ever.

Formal in the fall

Just held elections. Alex (big Al) is president, Bradley is V.P., Pitts is still treasurer, Wes is pledge trainer and Sean is recruitment chair.

Dinner for the new guys will be the first of next semester. May wait on new guys?

Wing Stop food eating contest was small but turned out nice. They have a good base to build on for future years. Cool trophy made by Bry!

Sean created a disaster plan for the chapter that details what to do during various emergencies. Good stuff. Send Mike a copy when finished. He will make sure that it gets updated every semester based on exec board changes.

We had three members graduate (Lonnie Smith, Nathan Bazyk (going to grad school) and Zach Beattie. Also two Tea Roses (Desiree Paulhamus and Casey Riley).

Discussion

Court of Excellence

Our bylaws state that we should have a Court of Excellence consisting of any past presidents. Mike will start contacting these people so that we can for the Court and schedule our first yearly meeting. If you are interested, please contact him for more information. We’d like to get at least one past president for each 5 years so we’ll have complete coverage over the entire membership. So far I have @ 7 or so volunteers for this.

Housing Corporation

We got another volunteer. Now it stands as Mike Waters, Tim McKenna, Jacob Johnson, Roy Erickson and Gary Birdsong on this committee. We have added Wes Long as our chapter rep.  All members need to read the Housing Manual located on the website.

Poker or Dart tournament are possible fundraisers.

Planned Giving

Neal brought up the fact that we should start thinking about a “planned giving” program to insure the future donations to either the Association or the Scholarship Fund. I have talked with an old Little Sister (Jan Preuitt) who is the Director of Planned Giving for U.C.A. she has given me her website to look at and offered to meeting with us to discuss. I will email people with this information and work on a brochure to put at our events.

Diamond Bear Brewery

Brad sent me a link to their Facebook page. They give free tours at 3:00 on Saturday and Sunday. They also have a program where you can help bottle and they’ll give you free beer!!

Kroger Fundraising Gift Card

Must have 501C. From 9/1/09 till 5/31/10 all purchases from Kroger (including gas) will put 5% into an account for us. We can withdraw when we get $5000.00. Everyone can use this and put it to the scholarship fund including members, alumni, little sisters, parents and spouses.

Audits

Jason Keith should have our audits done by next meeting.

Contact Blitz

I got a list of who National’s says are Phi Sigs. @ 2200 people. We’ve got information on a little over 400 so I’m gonna start a blitz each month where I sent out an email to A.A. members with about 20 or so names to try to find these people.

501C

Rusty and Gaylon are working on this. Gaylon assures me that Rusty will have filed by the Golf Tournament.

Lottery Club

Mike, Roy, English, and Tim are in. We do 10 draws per week (whichever one is larger) with a power play. Does anyone else want in?

Facebook

Our Facebook page now has 181 members. This will be a good tool for us in the future for events and to keep everyone up to date on what’s going on.

Alumni Veterans

Alumni veterans displays will be made that will show all of our veterans along with any patches we can secure from them.

Chapter Eternal

We will be making some sort of display for future reunions to honor the Phi Sigs that have passed away. We will include birth and death dates as well as any other information and pictures that we can secure.

Dues

I sent out an email to alumni that had supported us in the past year or two that had not paid yet and got four alumni to pay their dues. This will be the largest year yet as far as numbers. I also sent out the yearly financials and the member and little sister lists.

Golf Tournament

Golf Tournament – our tournament will be June 12th at Persimmon Ridge in Greenbrier at 1:00. This year’s tournament name will be given by Bob Goss who had chosen to honor the brothers who pledged in 1969 & 1970.  $45.00 non members, $40.00 members, $30.00 chapter members? Chapter will cook out prior to the tourney and will have some snacks for afterwards. This year we will get a plaque made for the winners. We will retro it back to the first two years. Who wants to be involved?

If the chapter gets a nice donation on that day, they’ll be able to retire their debt. Hopefully for the last time! If we can pay off roughly $1000.00 in June, Nationals will forgive $225.00.

Poker Tournament

After the golf tourney, we will have a Texas Hold Em Tourney at Mike’s house. Same as last year, $10.00 per person will go to the Housing Fund. The A.A. will pay for some pizza’s a soft drinks? Red cup rule.

Homecoming – 10/30 this year against Southeastern Louisiana. It was decided to do Homecoming like last year with a nice cookout and a plan to go elsewhere afterwards for anyone interested.

Elections

Since there was no interest in anybody else serving on the board, Tim moved and Brad seconded that we keep the board for one more year. The vote was unanimous.

Mike will send a copy of the bylaws to the executive board to go over and review for any needed changes. If so, we will discuss and vote on them next meeting.

Float Trip

Roy will check on accomidations for a float trip on the Buffalo River on 7/10/10.

Jacob knows a D.J. that does the Rooftop Parties on top of Michelangelo’s. He is talking about us sponsoring a party there for a fundraiser. All the D.J. wants is a cut of the money. Jacob will look into for us.

We voted to name our two different scholarships. We will name out Member scholarships in memory of Shannon Flowers and our pledge scholarships in honor of Neal Anderson. Mike will contact Neal to let him know of the changes.

We also voted that starting in Jan of 2011, we will award a $1000.00 scholarship to one member per year (but will give in two $500.00 amounts in order to maximize the nationals matching amounts) and one $500.00 for a member of the two pledge classes (spring and fall).

Had around 60 alumni show up. Total take was @ $4200.00. (@ $235.00 scholarship jar, @ $600.00 silent auction) The cups seemed to sell pretty well. Paid $1.08 each so we need to sell 83 of the 250, then we’ll be making pure profit.

Housing Corporation

We got another volunteer. Now it stands as Mike Waters, Tim McKenna, Jacob Johnson, Roy Erickson and Gary Birdsong on this committee. We have added Wes Long as our chapter rep. I’ll be emailing everyone for our first meeting along with a tour of the room. All members need to read the Housing Manual located on the website.

Our year ends on Monday. Next meeting Tim will bring all last year’s financials so that Jason Keith can do and audit of them.

Deployment

1st Sergeant Mark Allen is in Afghanistan

Lt Col Robert Tubbs is back home!

501C

Rusty and Gaylon are working on this. Gaylon assures me that Rusty will have filed by the Golf Tournament.

Recruitment Trip

I’ve talked with a few alumni and have come up with a plan for a trip. We’d schedule a trip to Fayetteville to watch and early afternoon Hogs Baseball game. We would invite all alumni from the N/W part of the state to come by the game or to meet us at the Springdale Holiday Inn afterwards. They have an atrium. We could hold a short business meeting (maybe take someone from the Chapter for their spill) and take some of our Historian stuff with us. Afterwards, we can hang out at the bar at the hotel and drink more. Even if nobody shows, it’ll be a lot of fun. I do think we can get 5-10 alumni to come by to see what we have to offer.

The date will be April 17th when the Hogs vs the Georgia Bulldogs at 2:05.

Lottery Club

Would anyone be interested in getting together a “Lotto pool” of alumni? Maybe kick $20.00 per month, buy tickets each Monday (email copies to all members) and split the pot by the number of alumni in with the A.A./ Chapter getting one share. Mike, English, Roy and Chuck Sontag will be starting next week if anyone is interested. I will email details in the next couple of days.

Facebook

I started a new Facebook page one week ago and we now have 153 members and we now have 146 pics on there. This will be a good tool for us in the future for events and to keep everyone up to date on what’s going on.

Relay for Life

I will put together a Phi Sig team for the Conway Relay for Life in Memory of Chuck Cummings and any other Phi Sig or spouse that has beat, or succumbed to Cancer. It’s April 23rd – 24th at Estes Stadium. I will be getting an email out soon about this event. I’m gonna try to use our Tyson connections to get free food donated to see for fundraising. We’ll also be doing shirts for participants. Our name is The Phi Sig Army so they will be camouflaged.  Let’s raise a lot of money and have a good time!

We met 12/13/09 at my house (Mike, English, Tim and Jason)

Historian – They need one bad, Mike will get one appointed and check with them about their camera.

Room – Are they getting another room. If not, what can we do to help this one?

Exec Board Desk – We need to get one made for them when we figure out the room size. They are currently sitting around a round table which doesn’t work.

Website – If they can’t get it going, we will take it over!

Rush – The next two years are critical. We need to be working on next year to get a perfect one rolling!

Audit of Books – Mike has contacted Aaron Pitts to get the 2009 books to Tim to look at.

Fun “shit” to do – They need to start acting more like a frat. Formal, float trip, Oaklawn! Stuff they can bring up during rush!

Tea Roses – We really see no benefit the way this program is operated currently. Mike will get with them about changing. Need more women, women who will work and are not just dating a member, and need perks for being a Tea Rose.

Alumni Chairman – One will be appointed from the Fraternity (junior or senior) be coordinate stuff between them and us.

Philanthropy – Race for the Cure – we have enough ribbons for next year. Will need to work on details ahead of time and boost this up. Lot of potential there. Special Olympics – This is their national project. Let’s get them involved!

Chapter meeting minutes – Haven’t seen in a while?

Mike will start contacting these people so that we can for the Court and schedule our first yearly meeting. If you are interested, please contact him for more information. We’d like to get at least one past president for each 5 years so we’ll have complete coverage over the entire membership. So far I have @ 7 or so volunteers for this. We will be meeting in January.

Frontier Dance

Do we want to do this years Reunion as a Frontier Dance? Mike will send out a Survey Monkey to see what everyone wants to do.

Director’s and Operator’s Insurance

We got our policy and are now covered!

Audits

Jason Keith will look at the A.A. books.

Deployment

1st Sergeant Mark Allen will be going to Afghanistan from Jan thru May with his Air Force unit. When he gets situated, I will contact him for an address for us to send him a care package.

JP Phillips is headed overseas and eventually to Afghanistan.

Robert Tubbs will be back from Afghanistan the first part of March.

Contact Blitz

I got a list of who National’s says are Phi Sigs. @ 2200 people. We’ve got information on a little over 400 so I’m gonna start a blitz each month where I sent out an email to A.A. members with about 20 or so names to try to find these people.

501C

Jason says that if Rusty is too busy to get the 501C started that he has a friend that is willing to take over for us. Mike will email Rusty to find out where we’re at on it.

Recruitment Trip

I’ve talked with a few alumni and have come up with a plan for a trip. We’d schedule a trip to Fayetteville to watch and early afternoon Hogs B-Ball game.

The date will be either Feb 27th (Vandy)

Lottery Club

Would anyone be interested in getting together a “Lotto pool” of alumni? Maybe kick $20.00 per month, buy tickets each Monday (email copies to all members) and split the pot by the number of alumni in with the A.A./ Chapter getting one share. Mike, English and Roy.

I started a new Facebook page one week ago and we now have 110 members. I also posted 40 pics and we now have 122 on there. This will be a good tool for us in the future for events and to keep everyone up to date on what’s going on.

Hard Drive – I know have a ton of stuff on my computer that pertains to the A.A. and the chapter. I have a lot of photos, the alumni list, etc. It was voted on to buy a small detachable hard drive to load this on as a backup.

Relay for Life

I will put together a Phi Sig team for the Conway Relay for Life in Memory of Chuck Cummings and any other Phi Sig or spouse that has beat, or succumbed to Cancer. It’s April 23rd – 24th at Estes Stadium.

Chapter relations

Discussion

We had a really good meeting last month. All members but one were there and we had two chapter reps….and at least a few of us managed to get really drunk!

Working on an “alumni” carwash. Will get a place together for next month or two.

We would like to have a chapter rep to be on our newly formed Housing Corporation. Discussed that it needed to be someone younger who would be around for a while.

The Chapter got a new meeting room in Arkansas Hall. Small but will work for now.

If the chapter will give me what they want, I will get a metal sign made at work with the letters on it to hang outside.

The chapter picked up one new member who transferred from Pittsburg State in Kansas (he attended meeting).

Lonnie agreed to do the artwork for a new brochure. Mike will get with him on the design. Will include web sites, campus history, scholarships and notable alumni.

Mickey’s Restaurant – First Monday of each month, they have fundraisers. Chapter could bus tables and get 15% of money.

Race for the Cure is Oct 17th. We will once again buy the ribbons for them to sell with proceeds to go to the Komen Fund.

Formal – Still talking Eureka Springs – Would like for us to help pay for the bus.

The Chapter had a 2.96 GPA for the Spring Semester.

T-9’d Jason Elkins (he quit?)
