Conclusions |
It was brought up that we had voted a while back to put enough money in the Endowment to get it to the $10,000 mark but that we have not done that yet. It will leave us short in our account but we shouldn’t need that money for anything. If we have to have “seed” money for a fundraiser, we can get from our regular account. |

We talked about the fact that no scholarship was given out for the 2011 Associate classes. Mike will email the group about doing that the first of the new semester.
We will recognize the prior year’s winners at the Reunion. The Member scholarship will continue to be handed out at the Golf Tournament and the Associate scholarship will now be handed out at Homecoming every year.
Tim will send Rusty a link about banking. |

FIGI- Will bring their team in February. Iron Chef – Congratulations to Thomas Bedward for winning the UCA Iron Chef competition! Potluck – We held a potluck for the chapter for Thanksgiving on 10-22. Great success! Initiation – They initiated two great guys last Sunday night. Mixer – They had a mixer with the Tri Sigs on Dec 1st. Philanthropy – I’m proud to say that this semester alone, they have already turned in over 70 hours of community service. Last year the Phi Sig chapter from Nationals that won the award, turned in 73 hours and the Phi Lambs won on campus with @ the same amount. And they aren’t through yet! Dirty Santa party – The chapter is having a dirty Santa party next Tuesday night at the house. It was motioned by Rusty and seconded by Nathan that we buy them pizza for dinner that night.

Wish List – A wish list has been started by the chapter for stuff that they need at the house. Mike will start emailing the week before the meeting to see if anyone will volunteer to buy anything off of the list. I am going to buy them a dry erase board and bulletin board this month from the chapter fund so that they can start out on the right foot next semester.
Decorating – We are ready to start hanging stuff on the walls in the chapter room and also have more stuff to put throughout the house and in the garage. If anyone has any to donate, we’d like to fill the walls!
It was brought up that we have two alumni that do concrete staining. Chris Clark and Paul Beldin. Rusty will contact them about maybe doing the floor in the chapter room |

New Members – We owe the new Associate Members dinner. 501C – We now have it for the Scholarship fund. Any donations given the entire year will be eligible for a tax deduction. Tim will email receipts after the first of the year. 2012 Distinguished Alumni Award – Mike turned brother Dick “Lefty” O’Neal in for this award. He should have a good chance!! Jimmy Williams – Got news last week that Jimmy Williams is not doing well and is under Hospice care. I am trying to get some details about him. Eddie Glover – Eddie was featured last week’s “River Valley and Ozark” edition of the Arkansas Democrat Gazette. GreekVillage – Now has a web site that you can check out for information. T.V. – We voted a while back to pay $150.00 out of the chapter fund to get a upgraded T.V. for the house. They just bought a 46” flat screen, and are also getting an X-Box live set up, some x-tra controllers and games. They have a site set up for Phi Sigs and will use this to play games online with potentials. Fundraisers – Does anyone have any idea on a fundraiser for the Housing Fund and/or Chapter Fund? ReunionMeeting – We will have one in the next few weeks to finalize everything. Afterwards, I will email and also set up a Facebook invite page where we will update with old pictures and news every week. The committee consists of Mike Waters, Roy Erickson, Nathan Hotchkiss and Terry Rhoades. If you would like to help out, let me know and I’ll get you an invite. The scholarship board will be holding a meeting in January. |

FIGI- They have been ramroded onto campus by the new IFC director and Dean Roberts. The initial vote by IFC was unanimous to let them on. After he went to all chapters and berated them, the Phi Sigs and Sig Taus were the only ones with the balls to vote against them.
Race for the Cure Philanthropy – The chapter raised $243.00
T-9 – They voted last night to T-9 (kick out) two members for non-payment of dues and abandonment of the chapter. Garrick Strickland and David Latham. Both from last semester. Working on two other guys that are old holdouts. Will know by next meeting on them.
Homecoming Float – They built a float along with the Phi Lamb fraternity and the Sigma Kappa sorority and won first place in the float competition!
Greek God – Congratulations to member Jared Santiago who was runner up in Greek God!

After they went through that, he sent after another 30-pack. He would like to get reimbursed for three of the four for a total of $75.18. He’ll donate the last one. On a related note, we got $110.00 donated during the tailgate by five different alumni. Tommy Shackleford motioned and was seconded by Derek Mays and voted unanimously.
Last Tailgate – Saturday’s game is at 4:00. It was decided that we’d cook burgers.

Pink Tie Formal – Work with chapter to have ready 6 months in advance next year for them to do
Grand Bigs – Rusty had a great idea for the guys from last semester to have a golf outing paid for by their grand bigs at Persimmon Ridge. Afterwards we could have a cookout. After we get the new pledge class, we will take them out along w/last semester’s guys. From now own, it will be decided the meeting after the new pledges are acquired.
Phi Sig Fest II – We set the date for Oct 8th. I talked with Matt Farley and he’s ok with the date. It was voted last meeting to provide food. Mike will send a letter with details. Plan on riding 4-wheelers, shooting guns, cooking out, and maybe a beer or two! Location is 7-10 minutes from Greenbrier. The address is 75 Dammann LN, Springfield, AR 72157
UCA Tailgate – The next one is not till Oct 1st which is also Nathan Hotchkiss’ birthday

Next month will be our 60th consecutive Alumni Association Meeting. Let’s grill out! We will need an RSVP. Nathan mentioned something about buying the food!
Pipe Bank – Discuss the use of it. Formal vs trips to nationals? We decided to let the chapter vote on it when it is full.
GreekVillage – Mike went over handout about Greek Village. Will have another meeting with UCA at the end of September or the first of October. We need to start raising money!
2011 Reunion Committee – Mike, Roy, and Nathan met on 8/16. We came up with a list of stuff. · Will be at Howard Johnson’s again · March 3rd · Mike will set up Facebook Page · We will have a bartender again this year · We will get a cake with the Epsilon & Kappa crests on them · Menu – for next meeting, Mike will bring a menu · If we can have the room the night before, we will do a poker tournament for a fundraiser for the housing fund · Outdoor sign – Mike will request our name on the marguee again · Give away item – will decide by next meeting · Appetizers – May have dinner a little later but have appetizers on the tables · Reps from other decades. We need someone from the 60’s, 70’s and 90’s on our committee · An agenda & election names will be send out the week before · Pay in advance or an extra $5.00 · Security – Pay chapter for security and cleanup · Wine Tasting – Mike will get with Jerry Herrod about doing a wine tasting for the ladies while we have our business meeting
Komen Race for the Cure – The chapter will be selling ribbons (for a donation) and giving away stickers this year to raise money for breast cancer research. I usually foot the bill for the ribbons but can’t this year. I’d like to take the money out of the chapter fund, then replace it when they sale them. Any extra profit will go to the Komen Foundation. Stickers are $8.00 for 500 and Ribbons are @ $35.00 for 250. We have probably 100 stickers and maybe 50 ribbons left over from last year. There are also some “silly bands” that look like the ribbon that we can get for .10 each and sell.
Homecoming Food – It was decided to go with our old standby of Bacon-Wrapped Shrimp and steak and chicken kabobs this year!
Wish List – Mike will come up with a wish list to send to the a.a. members before each meeting. This list will include things needed for the chapter house such as water, soft drinks, etc. We’re hoping maybe some alumni will help out with these items.
Planned Giving – Jan Davis stopped by at the beginning of meeting and gave us a run down on planned giving. Mike will get the information sorted and the paperwork changed to our name so that we can start presenting to alumni. She also informed us that if we have a large donation that we want to get for our scholarship fund to get the Phi Sig Scholarship number and write the check to the UCA Foundation and they will make sure that it gets deposited in our account. This way it will be tax deductible!

Planned Giving I have asked Jan Pruett Davis to come to our June meeting to discuss
Executive Board Retreat I will set a date for this one day event for the exec board. During this time, we will discuss this business year and many changes to the way we do things. Everything from elections, to expanding officer positions, to how meetings are run and what we want to do for the next year. We will report back our findings next meeting.
Elections We have discussed the Board making recommendations for the following year, then having open elections for all paid members at the yearly reunion.
Free grill Terry Rhoades is donating one to the chapter.
Alumni Club Award The application is due June 1st. Winners will receive their award at the annual convention and will be featured in the Signet.
Chapter vs Nationals We wanted to wait till elections were over before we call Nationals to find out “exactly” what the chapter owes. Their paperwork is very complicated. We want to make sure we owe zero dollars at the beginning of the semester, then can keep track of it from here on out. Mike and Tim will set up a conference call with the national rep, along with our new President and Treasurer and their predecessors. Tim will also work with the new Treasurer.
Convention Mike and Nathan are currently settled into going to Convention at the Marriott in New Orleans on August 3-6. Full conference is $290.00, Friday/Saturday only is $150.00, and Saturday only is $100.00. The rooms are $139 per night plus tax for triples and quads. Also $200.00 volunteer funding for advisor.
2011 Reunion Committee Mike, Roy, Nathan, Terry. First few months will be done via email. Any suggestions?
Pink Tie Formal Still working on location. Agora is a possibility. Golf Tournament
Bricks Counting the Brick that the Alumni Association will buy for Shannon Flowers, we have now sold 9 bricks. We need 25 for our initial order and then we can buy one at a time. Mike will send out a message in the next week to get this rolling! |

Banners Jacob Johnson has a $50.00 coupon from Vista Printing that he will donate to the Alumni Association. We are going to order a banner for the golf tournament, plus maybe a couple of smaller ones for rush, etc. Mike will email him our design and any crests that he has. He will try to keep the total in the $75.00 range. Thanks Jacob!
Elections Gary Birdsong brought up the idea about having “floating” years for officers. Number them so that each year one or two go off and elections are held and then the next year the same thing happens with the other officers.
Past Due Money for the Chapter There are two members who are gone now that were supposed to start a payment plan. I told the chapter that I would send a letter to these two individuals advising them that if they did not start paying the approved payment plan that a T-9 form would be filled out for both of them and at least one of them (he’s signed the payment form) would be sent to a collection agency.
Graduates We had two members graduate in May. Steve Helms graduated with a degree in Digital Filmaking and Derrick Mays graduated with a degree in Addiction Services. Greg Berbusse will be graduating in December. Congratulations guys!
Posters I have sent the rest of the posters to Lonnie to sign and number (50 max of each of the three). When we get them back, I will let the alumni and chapter know and will also start trying to peddle them on Ebay to see what kind of bites we get. We paid for them with the first 6 that were auctioned off at the reunion and now we’ll make pure profit off of everyone sold! $15.00 each minimum. Depending on sales, I may also set up a Facebook site.
Sentinel Greg Berbusse was the lone volunteer for this position in our organization. Hopefully, having someone in this position will help to make sure that our meetings run better. He will be in charge of making sure that a chapter member gets the food as well as starting our meetings on time as well as keeping the talking to a minimum and phone game playing down so that we can finish in a reasonable amount of time. We can socialize at the end. There’s no reason, we can’t be done by 8:00 or 8:30 at the latest.
Bryant’s son Jackson William Crater was born on 5/10/11. 8 lbs and 13 ozs! Congrats!

Court of Excellence
Les Anderson was the only one to sign up at the Reunion. I will solict till we get at least 5 and we will have our first meeting.
Planned Giving
Neal brought up the fact that we should start thinking about a “planned giving” program to insure the future donations to either the Association or the Scholarship Fund. I have talked with an old Little Sister (Jan Preuitt Davis) who is the Director of Planned Giving for U.C.A. she has given me her website to look at and offered to meeting with us to discuss. I will email people with this information and work on a brochure to put at our events.
Contact Blitz
I got a list of who National’s says are Phi Sigs. @ 2200 people. Mike is continuing to send out a list every couple of weeks of twenty of so members. He is sending to Phi Sigs with known emails from that time period.
501C Still awaiting out paperwork but are good here.
Kroger Fundraising Gift Card Just waiting on the certificate and number before we set up.
Alumni Veterans
Alumni veterans displays will be made that will show all of our veterans along with any patches we can secure from them.
Diamond Bear Brewery
Brad sent me a link to their Facebook page. They give free tours at 3:00 on Saturday. They also have a program where you can help bottle and they’ll give you free beer!! . Mike will have more details at the February meeting. At the tour, we can inquire about working a weekend. Their website says that if you volunteer to give brewery tours (1 ½ hours), they give you a free case of beer!
Grand Bigs We have seven for this Associate class. I will email the information to the bigs.
Travelers We talked about doing a traveler’s game again this year. Roy will also look into doing a UCA game. We can tailgate for free along the first base line. Red cup rules! There is also a deck we can get in the outfield.
Furniture for house Rusty has some assorted furniture in his storage building that the chapter can have for it’s house. Mike & Nathan will find out what they need and go to Little Rock.
Pink Tie Formal Ashley Moon is working on an event to tie into the Komen Race for the Cure. She wants to do a Pink Tie Formal. She will work on details and report back to us by next meeting.
Chapter Eternal Mike would like to consider buying one brick per month with a deceased alumni’s name on it to put in the patio that we are working on. There are 56 deceased Phi Sigs that we know of so it will take a while! We voted to buy one brick in honor or our Founding Father Shannon Flowers. We will discuss again next meeting.
Wish list: Computers for the study area, portable basketball goal, wall mount for t.v. in Living room, horseshoes, Extra fridge for garage, electronic dartboard.
Boxing Mike has bought the chapter some boxing equipment. We now have two sets of gloves, headgear, extra mouthpieces, hand tape and hand mits. He has come up with some house rules and will have everyone sign waivers before they start training.

Paintball I would like for the Alumni Association to pay for food (chapter fund is ok) for the paintball get together. They are asking them if we can bring a grill and make an afternoon out of it.
Tailgating Need to start thinking about anything we’ll need for tailgating this year. Five home games.
Alumni Awards They are due at Nationals May 15th. Mike will submit.
Golf Tournament June 11th at Persimmon Ridge. Mike will set up a Facebook invite. Need help with the following
1. Plaque – I will get this made 2. Sponsorship – Rusty? 3. Prizes (how much)? Poker sets – 4. Cooking – Chapter….before and after 5. Gift cards – Already done. $50 Lowes and $50 Best Buy for the winners 6. Poker Tournament – Chapter (we’ll buy pizza) 7. Liquor Cart – Chapter 8. Fees - $40.00 per Alumni Association member, $45.00 for non member and $30.00 per chapter member. There will be a $5.00 extra fee for people that pay on the day of the tournament. 9. 1:00 tee off. We will eat at noon. 10. Mike will send letters to the few alumni we have with no email address 11. Mike will set up a Facebook invite list.
Dues We’re due on March 15th. Mike will send out an email to all alumni asking for them. Tim will give me a list of out finances for the last year to send with it along with our latest alumni and lil sister email list. I will also ask about who got their free glasses at the reunion so we can sort that out!
Bricks We have 7 sold. Need 25 to get our initial order. After that we can order one at a time. Mike will send out a message with the form to all alumni to sell more. We’ll also sell at the golf tourney.
Elections Tim made a motion that we give the current board one more year in their same positions. We tabled a motion but will be discussing it the next few months about how to do elections starting next year. We are talking about the board making recommendations then voting during the business meeting at the Reunion.
The board will be taking a one day “retreat” to go over things including expanding the roles of the other officers as well as looking at out bylaws. I would like for this year to be a much more business like atmosphere. The Alumni Association will pay for food for this.
Food & Beer What next meeting?
Free Grill Terry Rhoads has a grill that he is going to donate to the house. He will be replacing the burner then we can have someone pick up.
Chapter vs Nationals Tim proposed that we meet with the Chapter treasurer and the President (and also the guys’ elected next week for next semester) and go over financials. After we figure it out, we will conference call with Nationals to find out exactly what we owe. Next meeting we will go over that amount and decide on weather or not to pay it off. We will then be auditing the chapter every month to make sure we don’t get behind again.
Golf Shirt Roy is to check into getting one shirt (XL) made for Gary Birdsong for the golf tournament. He paid in the past but never got his shirt.
Convention Will be held August 3-6 in New Orleans. Mike will get information for anyone interested in going. Mike and Nathan will be attending so far.
2011 Reunion Committee Mike, Roy, Nathan and Terry are on the committee so far. If anyone else would like to join, please let me know. The first few months will be done via email.

501C We have conditional approval from the IRS for our Scholarship Fund! This is big news and should really help us pull ahead with our scholarships!
Kroger Fundraising Gift Card Now that we have approval for the 501C, Mike will get us set up to take advantage of this as soon as we get our certificate in. We buy rechargeable cards and for every dollar spent at Kroger (including gas, and pharmacy) the scholarship will get 4% back.
Our Facebook pages now have 203 members on our regular site which is Phi Sigs and friends and have 165 members on our Phi Sig only site (upper left). This will be a good tool for us in the future for events and to keep everyone up to date on what’s going on.
Alumni Veterans Alumni veterans displays will be made that will show all of our veterans along with any patches we can secure from them.
Chapter Eternal We will be making some sort of display for future reunions to honor the Phi Sigs that have passed away. We will include birth and death dates as well as any other information and pictures that we can secure.
Roast & Toast Has been postponed till after Reunion.
House We received in $1490.00 for the chapter fund and had @ $500.00 in there already. So far, we have spent @ $1000.00
Diamond Bear Brewery Brad sent me a link to their Facebook page. They give free tours at 3:00 on Saturday. They also have a program where you can help bottle and they’ll give you free beer!! . Please work on stuff for the silent auction
It is at the Howard Johnson’s in Conway. I will go by tomorrow to see about the menu so we can price it.
We decided to start a Phi Sig Hall of Fame. We will be inducting our founder Shannon Flowers as the inaugural member. During the business meeting this year, we will take nominations for people for the next year.
Mike will talk with Robert Tubbs about doing a slide show about his Afghanistan adventures!
Our tentative agenda for the Reunion business meeting will be the following Scholarship Housing Court of Excellence President of the Chapter’s speech 2012 Reunion committee
Open house for the chapter house will be 2:00 – 5:00. Our business meeting will be 4:30 – 5:30 and we will eat dinner at 6:00.
We have a Best Buy card worth $50.00 that we will give away as a door prize during dinner. Mike will also pick up a $50.00 Lowes card for the same thing.
Steve Helms make take some pics when they come in the door.
We will settle up with cash when they get name tags. Please make sure everyone is wearing a name tag!
Rusty said that Jerry Harrod had said something about possibly doing a wine tasting while the guys are in the meeting. Mike will check with him on it.
Lonnie Smith is designing two posters to sell for the Chapter. They will be signed limited edition posters and the cost will be @ $2.00 each. Will sell them for $15.00 with all proceeds going to the Chapter Fund. We will silent auction the first two of each one with #1 going to the chapter and #2 going to whoever the highest bidder is.
Pub glasses – Mike is going to order 100 pub glasses. They will have our logo on one side and “Phi Sig Alumni Association Reunion 2011” on the other. We will give one to each alumni that paid their 2010 dues and sell the rest of them.
Grand Bigs Hopefully, we’ll need 7 of them this next semester. What it involves is a small “goody bag” at the beginning and buying them a shirt and dinner after initiation.
Dues for next year We discussed having different levels for next year depending on the amount donated. Mike will come up with something for next meeting to vote on. We also talked about perks for the ones that give a certain amount. Also, do we want to come up with a “lifetime” dues?
Mike requested and got the ok to give the chapter 20 of our alumni cups for their house. We also voted to buy some pink glasses to sell at reunion.
Travelers We talked about doing a traveler’s game again this year.
Super Bowl Party We had a party for the guys. Only spent @ $85.00! Dick O’Neal Dick O’Neal will be in Arkansas the week of March 14th to do book signings in Conway, Morrilton, Ft Smith and Little Rock. I told him that the chapter would help out with the signing in Conway.

Our Facebook pages now have 203 members on our regular site which is Phi Sigs and friends and have 163 members on our Phi Sig only site (upper left).
Roast & Toast The chapter has come up with a great fundraiser. They want to do a Roast & Toast of Mike Waters. We have moved the date since it was so close to the Reunion. More information on how to embarrass Mike will follow! Mike is talking with Jared about getting a building across from the high school for $300.00 per night. We’ll have catered and kegs with all proceeds going to the chapter/housing/scholarship funds.
House We have the house! Special thanks for the following 16 alumni that donated to help us with seed money to make it happen! We raised $1425.00 (plus have 3 checks of unknown amount on the way) which makes this a reality. Thanks to Mike Waters, John Gray, Lonnie Smith, Greg Bowman, Craig (Phi sig from another chapter that Jacob Johnson knows), Neal Anderson, English Cook, Brad Youngblood, Gene Sparkman, Tommy Johnston, Chuck Sontag, Mark Webber, Mike Woiteshek, Nathan Perry, Kevin Pray and Jason Keith. - 2 people currently living there with one to move in mid-feb – That will be $900.00 income. The rent is $800.00 per month and the estimated utilities are $295.00 per month. Next month, they will start saving $80.00 per month from a storage building they no longer need. The utilities will eventually be split up into one equal share for the fraternity and one equal share for each member living in the house. Expenses for cleaning supplies, etc will also be done this way.
- We got the sheetrock and a bunch of supplies for the house (mainly cleaning) and have it on a 6-month no interest card from Lowes - We are finishing out the separate garage with sheetrock and an area connecting the office with a bar that opens up out into the building. - We plan on doing some fundraisers to help fund the house such as alumni carwashes and details as well as selling bricks for a backyard patio. - The chapter will be coming up with a wish list that they would like to have. Stuff like a nice grill, horseshoes, dart board, privacy fence, etc. - I would like to see a section of the wall in the chapter room dedicated to deceased alumni Diamond Bear Brewery Brad sent me a link to their Facebook page. Founders Day Founders Day will be March 5th this year. Please work on stuff for the silent auction Mike is checking with both the Hilton and the Howard Johnson in Conway about rates. We decided to start a Phi Sig Hall of Fame. We will be inducting our founder Shannon Flowers as the inaugural member. During the business meeting this year, we will take nominations for people for the next year. Mike will talk with Robet Tubbs about doing a slide show about his Afghanistan adventures! Our tentative agenda for the Reunion business meeting will be the following Scholarship Housing Court of Excellence President of the Chapter’s speech 2012 Reunion committee Housing Corporation We had second meeting and talked about a lot of things but really need to get into the house before we can get our main stuff down.
Grand Bigs Hopefully, we’ll need a bunch of them this next semester. What it involves is a small “goody bag” at the beginning and buying them a shirt and dinner after initiation. Dues for next year We discussed having different levels for next year depending on the amount donated. Mike will come up with something for next meeting to vote on. We also talked about perks for the ones that give a certain amount.
Little Sister list Rusty asked Mike to forward his list to Barby Abney and Reggie Henderson. Mike requested and got the ok to give the chapter 20 of our alumni cups for their house. We also voted to buy some pink glasses to sell at reunion. Travelers We talked about doing a travelers game again this year.
Super Bowl Party We will sponsor the food for the chapter for them to have a nice Super Bowl party this year. Mike will get back with the pricing. |
